How to add employees or users?

Info
To effectively manage your workforce and track their activities, it is important to add employees to the Garment IO system. This chapter will guide you through the process of adding employees and managing their information within the system.
Accessing Employees:
To add employees, follow these steps:
  1. Go to Human Resource > Employees page.
  2. On the Employees page, click on the "+" button to add a new employee.

Adding an Employee:

What Information Is Needed?

1. Personal Information

You’ll need to provide the following details:

  • First Name & Last Name (Primary Language) – The name in the system’s default language.

  • First Name & Last Name (Secondary Language) – Optional, shown if the user prefers to view names in another language.

  • Profile Picture

  • Mobile Number

  • Date of Birth

2. Hiring & Identity Details

Capture employment-related data:

  • User Code – A unique identifier for the user.

  • Fingerprint Code – Used for biometric attendance (if applicable).

  • Hiring Date

  • Roles

    • If this is an employee, assign the “Worker” role.

    • If this is a system user, choose the relevant role (e.g., Supervisor, Admin, etc.).

  • Main Role – The primary role that defines access.

    • Once a role is selected, the Access Type is automatically updated to reflect whether this user will have access to:

      • Garment IO device only

      • System only

      • Both

3. Access-Specific Information

A. If the user/employee has access to the Garment IO Device

Additional production-related details are required:

  • Home Section – The main section this worker is assigned to.

  • Machine Type Assigned – The type of machine they typically operate.

  • Skill Level – Worker’s skill rating (used for efficiency tracking).

  • Device Language – The preferred language displayed on the Garment IO device.

B. If the user/employee has access to the System

Additional system-related details are required:

  • Username & Password – For system login.

  • Access Scope – Define if the user has access to:

    • The entire company

    • A specific factory

    • Specific lines or sections

  • Homepage – The first page the user sees upon login.

  • System Language – The language of the system interface.

  • Data Language – Controls how employee names and process names appear (Arabic, English, etc.).

4. Salary Details (Optional)

If you wish to track production costs, you can enter:

  • Salary Information

    • This is especially important for employees with access to the Garment IO device, as it enables calculation of production cost per employee.

Editing and Deleting Employees:

The Garment IO system allows users to edit or delete employee records. To perform these actions:

Edit Employee:

On the Employees page, locate the employee you wish to edit and click on the corresponding edit button. Update the relevant information and save the changes.

Delete Employee:

On the Employees page, locate the employee you want to delete and click on the delete button. Confirm the deletion when prompted.

Managing Employee Salaries:

To manage employee salaries efficiently, the system provides the option to update salaries in bulk using an Excel file. Here's how it works:

  1. On the Employees page, next to the "+" button, you will find an "Update Employees Salaries" option. Click on it.
  2. Download the Excel file provided.
  3. Update the daily salaries for each employee by entering the salary amount next to their employee code and starting date of the new salary.
  4. Upload the updated Excel file back into the system. The system will then update the salaries of all employees accordingly.
    1. The system will tell if there are any errors in the file. The system does not allow any duplication in employees codes.

Resigning Employees:

If an employee resigns, you can mark their status as resigned within the system. To do so, follow these steps:

  1. Select the employee you wish to resign from the Employees page.
  2. Click on the resign button. The system will update the employee's status as resigned.

RFID Tags:

For device users, it is necessary to assign RFID tags to employees. These tags are used to log in to the Garment IO device by scanning the card.

Check-in/Check-out Times:

In addition, the HR department has the ability to edit check-in and check-out times for employees. However, there are certain limitations to prevent illogical adjustments:

  • Check-in time can only be edited to a time after a specific action performed by the employee.
  • Check-out time can only be edited to a time before the employee's last action.

By effectively adding and managing employee information within the GARMENT IO system, you can streamline workforce management, track activities, and ensure accurate cost calculation for production processes.
